Privacy Policy

Our website address is: https://kimu-uhi.no.

The website provides basic information about the KiMU project and offers participants attending KiMU-based gatherings further details about the modules. It will also provide access to a toolkit associated with the modules and serve as a platform for completing preparatory work for each module.

Cookies

The login page does not set a temporary cookie to check whether your browser accepts cookies. Login cookies are only set once a successful login has occurred. If you request a new password, you will receive an email containing a link that remains valid for 24 hours. The email does not include your IP address; it is used solely to limit the number of such requests that can be submitted.

Log in (WordPress)

Users who log in as a course administrator or report owner receive standard WordPress login cookies, among other things. wordpress_logged_in_* and wordpress_*. For HTTPS, the following is also set wordpress_sec_*The cookies are used solely to maintain the login session. Kimu always sets them with a "remember me" option, so the login remains active for 14 days. There is no specific setting for this in the login form. When you log out, the login cookies are removed. None of these apply to anonymous participants who are simply completing the questionnaire.

Cookies in questionnaires (Kimu)

The questionnaire uses a necessary cookie that allows you to resume filling it out during a later visit and to view your own report after submission, where this is part of the assessment. We store an anonymous technical key in your browser. This key does not contain your name, email address, or any other personal information. Once a session date has been set, the cookie for a pre-session assessment remains active until the end of that day, while for a course evaluation, it remains active for 14 days following the session date. If no session date is set, the cookie lasts for 30 days. The cookie is secured using the `HttpOnly`, `Secure` (via HTTPS), and `SameSite` attributes. Without it, neither the "resume later" feature nor the ability to view your own report will function.

Some assessments provide immediate results based on your responses. These appear right after you complete the form and are only available at that moment. You have the option to download this report as a JPG (image) or PDF (file).

We do not use any tracking or analytics cookies, nor any third-party cookies. The cookies that are set originate from the website itself and are necessary for questionnaires, logging in, and remembering your cookie preferences.

How long do we keep data?

For users who register on our website (course administrators), we also store the personal information they provide in their user profile. All course administrators can view, edit, or delete their personal information at any time (with the exception that they cannot change their username). Use "Your Page" to manage this. Website administrators can also view and edit this information.

Submitted questionnaire data are retained in an anonymized format for aggregated analysis over time—both to gain better insight into the subject matter Kimu works with and to improve the modules.

What rights do you have?

If you have an account on this website, you can view the personal data we hold about you under "Your Page." You can delete your account—and, consequently, all personal data we hold about you—from that page. This does not include data that we are required to retain for administrative, legal, or security purposes. Without an account, you will not be able to manage assessments associated with the modules.

All questionnaire data is submitted anonymously, and we have no way of tracing who provided which answers. Consequently, we cannot provide you with your data from this source or delete your data after it has been submitted. Empty forms are deleted automatically.

Where is your data sent?

We do not share your data with third parties. Only course coordinators who have completed "train-the-trainer" training on the use of the modules at their own institution have access to download aggregated reports based on their own courses. These aggregated reports are based on anonymous surveys completed by course participants.
